- Make entries in our production and management tools (local Mypilot development on Salesforce)
- Draft contracts for our freelance partners and mission letters. Sending to the people concerned, follow-up and possible reminders. Make requests for rights to IT tools so that they can work
- Schedule assessment and coaching sessions
- Arrange logistics for group sessions and training sessions
- Data entry for work accidents onto the Risesmart France business tool (Dat'line Portal),
- Entry of Administration decisions on the professional nature of work accidents
- Update Administration decisions in our Dat'line Portal with the entry of an Administration document (Employer Account)
- Create training sessions in Salesforce, register the client's trainees, generate registration forms, invitations, training conventions, etc.
- Update the schedule of webinar workshops for candidates supported in outplacement, identify the themes and consultants to be assigned, plan actions in the calendars and under Torch
- Process candidates' difficulties connecting to the Torch platform: consult the data in Salesforce MyPilot or in Torch in order to readjust the end date of eligibility to once again allow access to the candidate concerned
- Monitor the time entry of our teams and external teams and possible individual reminders
- Reconcile free-lancers timesheets, times in Torch, agendas and invoices
- Administer travel fees to be charged to the client
- Ad-hoc operations reporting in Excel
- You will be managed locally by GBS in Budapest
- You will have a solid line with a Manager based in France
- You will have daily contact with project managers, free-lance or internal coaches, Enterprise enablement teams, Risesmart France enablement teams and possibly Randstad France enablement teams
- You may be exposed to client interaction either by emails or participating in calls with clients together with the local FR project management team
- Fluent French (both written and verbal)
- Preferably someone with 1-2 years of experience in assistantship or administrative support functions or junior project management
- Excellent computer skills to use our internal systems and standard Microsoft office applications and or Google Suite to manage yourself and your work
- Very good organizational skills to manage several work assignments simultaneously
- Attention to detail to keep track of multiple assignments, coach details and dates
- Good at time management, multitasking, and prioritizing tasks
- Comfortable and confident to take decisions and ask questions to find solutions/answers
- Friendly manner when dealing with colleagues and free-lancers to resolve any issues
- Logical thinking and problem-solving skills to deal with any schedule conflicts or delivery issues
